Individual bill of lading numbers bring fluency to supply chain

Finnish bill of lading standard has been renewed and was introduced in 1st of January 2012. Internet-based bill of lading number service of The Finnish Association of Purchasing and Logistics (LOGY) supports the objective to make supply chains more electrified and improve competitiveness of the economic life.

It is possible to order individualized and detailed series of bill of lading numbers from LOGY´s Internet-service. Users who log in to the number service are registered as users of this service by giving the contact information of the company that is ordering the numbers. LOGY´s Internet-service administrates the numbers and upholds register of number series.

Bill of lading numbers which are ordered from the service are individualized and there are no two similar numbers. In the new 12-numbered bill of lading number the first three numbers are locked. The following eight numbers are alternating. The last number of the number series is hash number. It is counted using the same principal as the reference numbers of bank payments. In other words first 11 numbers are multiplied from right to left using the following series. First number is multiplied with number 7, the second number with number 3, the third number with number 1, the fourth number with number 7 and so on. The outcomes are counted together and the sum is reduced from the next following tenth. If the difference is ten it is marked as a zero.

More information about the count of hash number can be found here. Nordea offers a hash number counter that counts hash numbers for a long series of numbers at the same time. In Microsoft Office Excel you can use the following formula.

Traceability of the bill of lading numbers generated in Internet-service is based on the registration information given by the user.

Bill of lading numbers from the new service are valid for 24 months from the date of order. We encourage subscribers to estimate the number of bill of ladings and the required numbers so that the series will be used in the period of validity. The amount of numbers can be chosen as the subscriber wishes. If you order over one million bill of lading numbers you can ask for a separate offer.

The users may split the received number series to specify internally the various dispatching locations or business units / offices, if these different offices have their own systems for printing of bill of ladings.

Standard for bill of lading

Finnish bill of lading standard has been renewed and introduced in 1st of January 2012. New bill of lading form published by Finnish Standard Association SFS is more practical and responds better to the new requirements of transportations such as compatibility with electric data transfer. The application instruction of the standard has been specified during update. The last version of standard has been running for the past ten years.

The most important changes in bill of lading form are clarification of the information concerning different parties of transportation, transportation instruction – location change of the field and the possibility of two different form options. The information concerning different sides of transportation offers now only four address possibilities, instead of the former five ones. The information areas have been organized in following order: “Dispatcher”, “Recipient”, “Starting point”, “Destination”. It is very important that valid and standardized forms are always used in transportations.

Valid and standardized bill of lading form can be seen here. The complete description of bill of lading standard is available directly from Finnish Standard Association SFS.

Towards fluency and expedition

The objective of standardized bill of lading, label and individualized bill of lading numbers is to speed up the process of cargo transport. This improves and speeds up the transfer process towards electrified data transfer between the clients and carriers. The reformation improves customer service and makes it possible to monitor the delivery of each logistics service operator in web-based environment.

Finland is moving to the same policy as Sweden where the individualized bill of lading number is mandatory. Running errands in electric environment between customers and transportation companies has increased and covers already over half of transports.

The objective is that this procedure will be the only and inclusive procedure in the nearby future in Finland.

The main logistics service providers (for example companies that are members of Association of Logistics Enterprises and Finnish Freight Forwarders´Association) and companies that use transportation services have defined common ways and customs of data transfer with TIEKE (Information Society Development Center). The objective is to take in-line ways for data transfer in cargo transportation to use. This helps and speeds up the operations of carriers and trade partners.

You can print out the bill of ladings from your own system or use the services of third party. The bill of lading number can also be printed as footnote to the package label.
